Lodge OS makes software that resorts use to run their business. Most of the personal information in our systems belongs to a resort's guests, and the resort decides what is collected and why. We hold and process it on their behalf.
What we hold
- Guest details a resort records in order to take a booking: name, email address, phone number, postal address, and notes the resort writes about the stay.
- Reservations: dates, which rental, how many people, what was charged and what has been paid.
- Messages sent to a guest through Lodge OS, and replies that come back, so a resort can answer "what were they told".
- Staff accounts: name, email address and role for the people at a resort who sign in.
What we do not hold
- Card numbers. Payments are processed by Stripe. Card details are entered directly with Stripe and never reach our servers; we keep only a reference to the payment and the last four digits Stripe returns.
- Bought data. We do not buy, rent or import mailing lists.
Why we hold it
To provide the service a resort has asked for: taking and managing bookings, taking payment, cleaning and preparing the rental, and communicating with the guest about their stay. We also use aggregate, non-identifying information to understand how the product is used and to keep it working.
Who it is shared with
We do not sell personal information, and we do not share it for anyone else's marketing. It is shared only with:
- the resort whose guest or staff member it concerns;
- service providers who act for us and only on our instructions — today that is Amazon Web Services (hosting, storage and email delivery), Stripe (payments) and Twilio (text messages and telephone);
- anyone we are legally required to disclose it to.
We send email on behalf of resorts — booking confirmations, changes, quotes, payment links, pre-arrival details and post-stay notes. Where a resort sends marketing, every message carries a working unsubscribe link and supports one-click unsubscribe. Delivery failures and spam complaints permanently suppress the address in our system. The Email from Lodge OS section on our home page describes this in full.
Where it is kept, and for how long
Data is stored on Amazon Web Services in the United States. We keep booking and payment records for as long as the resort needs them for their own accounting and legal obligations. A resort may ask us to delete a guest record at any time, subject to those obligations.
Your choices
You may ask what we hold about you, ask for it to be corrected, ask for it to be deleted, or ask us to stop sending you marketing. Write to [email protected]. If your information was given to a resort, we may need to pass the request to them, and we will tell you if so.
Children
Lodge OS is not directed at children and we do not knowingly collect information from them. A guest record may include the number of children on a booking; that is the resort's record of their stay.
Changes
If this page changes materially we will update the date at the top. The current version is always the one published here.
